Board Opportunity – Landmarks Co-Chair

Position Description:

The Co-Chair helps lead planning, coordination, and execution of PRSA Bluegrass’s annual Landmarks of Excellence Awards — the region’s premier recognition program for outstanding communications, marketing, and public relations work. The Co-Chair collaborates with a fellow Co-Chair and a volunteer committee to oversee strategy, sponsorship, logistics, promotion, judging, and event execution, ensuring a high-quality, well-run awards program.

Key Responsibilities:

Award Entry Management

  • Set entry timeline, submission deadlines, and category structures in partnership with the Co-Chair.
  • Coordinate with the online submission portal vendor to set up categories, criteria, and technical requirements.
  • Respond promptly and professionally to questions from entrants regarding eligibility, categories, technical issues, submission guidelines, and deadlines.
  • Monitor submissions regularly and ensure completeness of entries prior to judging.
  • Work with the marketing team to develop clear and accessible entry instructions, FAQs, and promotional messaging.

Judging Coordination

  • Help recruit qualified judges from outside the Louisville region to ensure fairness and avoid conflicts of interest.
  • Develop judge briefing materials, including scoring criteria, judging instructions, category descriptions, confidentiality expectations, and deadlines.
  • Serve as primary point of contact for judges throughout the review process, answering questions and ensuring timely completion.
  • Manage scoring review, tabulation, and integrity checks to confirm winners.

Winner Notifications & Post-Judging Communication

  • Draft and distribute winner notification letters/emails, ensuring clarity on confidentiality until the public announcement.
  • Communicate with finalists and honorees regarding event logistics, acceptance remarks, media releases, and photography needs.
  • Coordinate with marketing to prepare winner graphics, website updates.

Sponsorship & Budget Oversight – Identify and solicit sponsors in alignment with sponsorship tiers and chapter goals.

Event Execution & Logistics – Secure venue, catering, A/V, staging, photography/videography, décor, printing, and awards. Develop the full event run-of-show, including program script, speaker flow, honoree recognition, and sponsor callouts. Serve as an on-site event leader, solving issues quickly and ensuring a seamless attendee experience
